We do not ask for and do not want special category data (health, ethnicity, and similar). Please do not include it in the notes field.
Tenant information
If you are a landlord or letting agent and you give us a tenant’s name, phone number or email so that we can arrange access, we use it only to contact that tenant about the appointment. We do not market to tenants, we do not add them to any list, and we delete their contact details once the job and any follow-up are complete. You should make sure your own privacy notice tells tenants that you may share their contact details with contractors for this purpose.
How long we keep it
- Gas Safety Certificates (CP12) — at least 2 years, as required by the Gas Safety (Installation and Use) Regulations 1998
- EICR reports — at least 5 years, so the report is available until the next inspection is due
- EPCs — 10 years, matching the certificate’s validity; EPCs are also lodged on the national EPC register, which is public
- Fire Risk Assessments, Fire Alarm, Emergency Lighting and Asbestos reports — at least 5 years
- Order and payment records — 6 years, as required by HMRC
- Enquiries that do not become a booking — 12 months, then deleted
- Tenant contact details — deleted once the job is complete
Who we share it with
We do not sell your data and we do not share it for anyone else’s marketing. We use the following providers, who process data on our behalf:
| Provider | What they do |
|---|---|
| Hostinger | Hosts this website and our email. Your enquiry and order data sits on their servers. |
| WPForms (Lite Connect) | The booking and enquiry forms. Form submissions are backed up to WPForms’ cloud service. |
| Google (Analytics & Search Console) | Website usage statistics, only if you accept analytics cookies. |
| QUIC.cloud / LiteSpeed | Content delivery and caching, which speeds the site up. |
| Wordfence | Website security and blocking malicious traffic. |
| Accreditation bodies and registers | Gas Safe Register, NICEIC/NAPIT, Elmhurst Energy and UKATA, where a certificate must be lodged or is subject to audit. EPCs are lodged on the national EPC register. |
We will also disclose information where the law requires it — for example to the Health and Safety Executive, a local authority, or a court.
Some of these providers may process data outside the UK. Where they do, the transfer is covered by the UK’s adequacy regulations or by standard contractual clauses.
Where your enquiry is stored
When you submit a form on this website, your submission is stored in two places: in this website’s own database, and in WPForms’ backup service. We also receive it by email. Keeping a copy in our own database means an enquiry is not lost if an email fails to deliver.
Cookies
This site uses cookies that are necessary for it to work (for example to remember what is in your basket and to keep you logged in), and — only if you agree — analytics cookies from Google that tell us how the site is used. You can refuse non-essential cookies, and you can clear or block cookies in your browser at any time.
Your rights
Under UK data protection law you can ask us to:
- give you a copy of the personal data we hold about you
- correct anything that is wrong
- delete your data, where we are not required to keep it by law
- restrict or object to how we use it
- transfer it to another provider
- withdraw consent you have given, such as for analytics cookies or marketing
Email info@manchesterpropertyinspections.co.uk and we will respond within one month. There is no charge.
Note that we cannot delete a certificate we are legally required to retain — for example a CP12 within its 2-year retention period.
Complaints
If you are unhappy with how we have handled your data, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint or on 0303 123 1113.
Changes to this policy
If we change how we handle personal data we will update this page and change the date at the top.
